Billings TrailNet is seeking an enthusiastic self-starter who can balance the management of our membership, volunteer and event programs. This person will move Billings further along as a premier community for healthy and active lifestyles where biking and walking are safe and an integral part of everyday activity.

About Billings TrailNet:

Billings TrailNet (formerly called BikeNet), is a nonprofit advocacy organization in Billings whose mission is to promote a complete, community trail system. Since 2003, Billings TrailNet has contributed local match funds totaling over $350,000 to trail projects in the community. These projects have been an invaluable addition to the community as more road users turn to walking and biking for transportation and recreation

Position Description:

Billings TrailNet’s Program Coordinator will manage Billings TrailNet’s Membership and Volunteer programs, inform constituents via email and website updates, assist with organizing our events and will support our Advocacy committee.

Responsibilities:

Manages Membership program
Recruits, retains and engages members to increase human resources for Trail Advocacy, Education and Stewardship through:

  • Organizing and promoting monthly member gatherings
  • Organizing and promoting annual Membership Drive Kickoff (early September)
  • Organizing and promoting Membership Appreciation Event in November
  • Promoting our Membership Drive September through November
  • Promoting membership at all Billings TrailNet events (Annual Meeting, Tour de Fleur, Commuter Challenge, Ales for Trails and Membership Appreciation event)
  • Inputting membership and donor contributions into constituent relationship management software (Donor Perfect)
  • Communicating with new and renewing members through mail, email and social media
  • Planning events that engage existing members and recruit new members

Manages Volunteer program
Manages volunteers through:

  • Creating a volunteer list and identifying members or volunteers for specific tasks
  • Creating job descriptions for volunteers
  • Managing and supporting volunteers by communicating and balancing the needs of the job, Billings TrailNet’s expectations, and each volunteer’s expectations, limitations and abilities
  • Creating a volunteer manual and conducting volunteer trainings
  • Volunteer programs include but are not limited to:
    • Recruiting volunteers to staff Billings TrailNet events
    • Recruiting volunteers to staff events related to fundraising for Billings TrailNet or events that are directly related to the mission of Billings TrailNet, where Billings TrailNet is a partner
    • Organizing a mentoring program for new riders
    • Recruiting volunteers to teach safe trail use and/or give trail tours
    • Recruiting volunteers to refurbish used bikes for low income students
    • Recruiting volunteers to teach cycling safety classes and helmet fits

Coordinates events

  • Organizes and promotes Membership Appreciation Event
  • Organizes and promotes women’s bicycle ride, the Tour de Fleur (to familiarize women with biking, biking downtown, making it fun, raise funds and awareness)
  • Helps plan Commuter Challenge with coalition
  • Participates in or attends events related to trail development
  • Assists in planning/implementing major fundraiser, Ales for Trails
  • Organizes Bike Commuter energizer stations/breakfasts
  • Organizes mechanic event for low income student bike Giveaway
  • Plans membership events and other events that promote active living
  • Seeks small donations for events
  • Assists in organizing/managing Ales for Trails

Supports Advocacy program

  • Informs public through e-newsletter, website updates and media outreach
  • Updates online trail information
  • Works with city officials to promote active transportation and infrastructure
  • Makes presentations to groups to promote safe interactions between motorists, bicyclists and pedestrians
  • Supports advocacy committee chairman in recruiting, informing and organizing meetings

Conducts media outreach

Writes blog stories, articles for e-newsletter and updates website and social media

Attends Billings TrailNet subcommittee meetings to support Billings TrailNet’s goals:

  • Advocacy
  • Ales for Trails
  • Board of Directors

May help with grant research and writing

  • Research and apply for grants which will support Billings TrailNet’s mission, vision and goals

Encourages active transportation

  • Helps people find safe routes; may attend and/or organize Cycling Savvy or League of American Bicyclist safety class

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily in an honest, caring, respectful and responsible manner.

Qualifications include:

  1. Bachelor’s degree in related field or equivalent preferred.
  2. One to two years related experience preferred, as a coordinator of people or activities.
  3. Ability to use typical business software and office machines.
  4. Understanding of the role of volunteerism within Billings TrailNet.
  5. Must be able to relate to people on all levels in a friendly and consistent manner.
  6. Must be able to supervise and direct a team.
  7. Must possess strong organizational skills.

Goals and Results

This position will ensure that:

  • Membership and Volunteer Programs contribute to the overall Billings TrailNet mission by increasing human resources for Trail Advocacy, Education and Stewardship
  • Collaboration with local partnerships and Billings TrailNet staff (including Executive Director, committees and Board of Directors), results in the members’ increased knowledge of walking and biking facilities in Billings, and quality impact on their life.
  • This position will help contribute to member retention by engaging new and existing members in quality Billings TrailNet volunteer programs

Salary and Benefits: Salary based upon experience.
